The traceability question

When a supplier presents a certificate of analysis, the useful question is not simply “is there a COA?” Ask instead: “Can this record be connected to the specific lot being discussed?” A generic certificate may show that a test was performed at some point. A lot-linked record is stronger because it gives the reader a way to compare product, date, issuer and result.

Traceability improves the usefulness of documentation. It does not, by itself, establish manufacturing consistency, chain of custody, safety, efficacy or suitability for human use.

The four records that should connect

A simple traceability map

Product name + lot number → COA with the same lot number → named laboratory or issuer → report identifier or verification route.

Each arrow is a question to check, not an assumption. If a product page lists a lot but the COA does not, the match remains incomplete. If the COA names a laboratory but has no report identifier or accessible original, the issuer may be identified while the record is still difficult to verify.

What a lot number does — and does not — do

A lot or batch number is an identifier for a particular production run or material grouping. It is the key that allows a document to be matched with a product record. A lot number is not a quality grade, and an unfamiliar format is not automatically a red flag. What matters is whether the same identifier appears consistently across the relevant records.

Be cautious when a document has only a product name, an old date or a single generic example. These can still be informative about a supplier’s stated process, but they are weaker evidence for current inventory than a current, lot-specific record.

Common traceability gaps

  • A product page says “third-party tested” but does not show a report, lot number or laboratory.
  • A COA has a high reported result but no product or batch identifier that connects it to a listing.
  • A PDF identifies a laboratory but gives no report number, sample identifier or date.
  • A supplier archive preserves a report that cannot be matched to current product inventory.
  • A secondary database repeats a supplier document without explaining its source or commercial relationship.

A gap should be recorded as a gap. It should not be filled with a positive conclusion just because other details look reassuring.

How to record a traceability check

  1. Write the product name and exact lot number as displayed.
  2. Record the COA date, report or certificate number and named issuer.
  3. Compare the lot number character by character; do not rely on similar product names.
  4. Note the reported method, specification and result without expanding their meaning.
  5. Label the source: supplier-provided, provider-verifiable, directly inspected or secondary.
  6. State any break in the chain plainly: missing lot, inaccessible report, unclear issuer or outdated record.

Traceability is not a product-quality score

Good traceability means a reader can follow a documentation trail more easily. It does not tell us whether every unit in circulation matches the tested sample, whether handling after release was appropriate or whether every relevant attribute was tested.
