Start with the document’s purpose

Under the widely used 16-section format, a Safety Data Sheet is designed to communicate information about a substance or mixture, including identified hazards, handling, transport and other safety-related information. The format makes it easier to find the same type of information across documents.

That purpose matters. An SDS is not an analytical report. It should be read as a safety-information record for the named material, not as a substitute for evidence about a particular batch.

The sections worth locating first

  1. Section 1: Identification. Note the product identifier, supplier name and contact details. This helps establish what document you are looking at.
  2. Section 2: Hazard identification. Check the classification, signal word, hazard statements and pictograms that are actually listed. Do not infer a missing classification from marketing language.
  3. Section 3: Composition or information on ingredients. Read the identity information that is provided, while recognizing that an SDS may not provide a sequence, lot number or analytical method.
  4. Sections 7–8: Handling, storage and exposure controls. These sections communicate workplace-style safety information. Their presence does not turn the page into use instructions or medical guidance.
  5. Section 9: Physical and chemical properties. Record what is stated, and avoid filling gaps with assumptions from another product or form.
  6. Section 11: Toxicological information. Read the wording and cited basis carefully. This section does not establish clinical safety or suitability for human use.
  7. Section 16: Other information. Look for the preparation or revision date. It tells you about the document’s currency, not necessarily about a specific production lot.

A careful reading checklist

  • Confirm that the document names a specific product or material rather than a broad, unrelated category.
  • Record the supplier or issuer, document revision date and any document identifier.
  • Check whether the product name on the SDS aligns with the product page and the COA — without assuming they refer to the same lot.
  • Keep hazard statements separate from claims about efficacy, quality or human use.
  • Where a field is missing, write “not stated” rather than drawing a conclusion from the absence.
  • Use a COA or laboratory report for batch-specific analytical questions, if one is available.

Signals to keep visible

An SDS can be professionally formatted and still be limited. A generic SDS that does not clearly identify the material, a document with no revision date, or an SDS that cannot be connected to a product page should be recorded as an unresolved documentation gap. That is not proof of a defect; it is a reason not to overstate what the document shows.

Similarly, an SDS is not a product endorsement. It does not establish that a material is safe, effective, legal or appropriate for any particular person or purpose.

Where the 16-section structure comes from

OSHA describes a standardized 16-section SDS format, including identification, hazards, composition, exposure controls, toxicological information and document revision details. The European Chemicals Agency also describes SDSs as records that provide information about the properties and hazards of a substance or mixture. These are useful frameworks for reading the document; local requirements can vary.
